One of the significant advantages of VoIP is the ease with which you can get a system up and running — particularly compared with setting up a similar system based on traditional telephony. There’s no need, for instance, for you to get the phone company to install new phone lines. Instead, all you need to do is to make some simple additions to your network.

There’s one more thing to mention before getting to the nitty-gritty of how to set up a VoIP system in the office. That is that there are two main types of systems to choose between. You can opt to install a system with physical VoIP phones. On the other hand, you might choose a software-only system. 

VoIP simply means your phone calls are routed through your existing Internet connection rather than the phone lines. The V stands for “Voice” and the IP for “Internet Protocol.” Your voice is converted to informational packets and transmitted just like any other bit of data. The PBX stands for “Private Branch Exchange” which is a switch that allows those bits of data (your voice) to be turned into a regular phone call.

There are two ways to set up your business with VoIP. A hosted system mean you run everything…the phones, software, the setup…through a 3rd party provider. The cost is higher, but since the infrastructure is the Internet, hosted systems are still much cheaper than traditional phone systems. In addition, your third party supplier is responsible for all of the maintenance, support and equipment associated with the system. This can mean no expensive systems for your company to buy.

You may elect to deploy your own system internally, but this means dedicated staff to configure and install the hardware and software and provide all support to your employees. This option still offers your company much lower costs in the long run over a traditional system, even with the added maintenance costs.

Regardless of whether you go with a 3rd party or deploy your own VoIP system, additional benefits include much cheaper long distance and international calling, advanced mailbox and call routing functions and features like voice-to-email (which automatically transcribes a callers message to text and emails it right to your inbox or phone).

Call quality can vary, but most people would never be able to tell the difference between a VoIP and traditional call.  Millions of businesses have already made the switch and are enjoying the benefits of a business VoIP system.

When setting up a VoIP system, network administrators need to consider the benefits and limitations associated with IP PBX Systems and hosted PBX Systems. Businesses need to take into consideration their company size, familiarity level with IP PBX, and the time and resources they’re willing to invest in maintaining the equipment to determine which option is the best fit for their company.
